Team Accounts — How to Collaborate With Other Agents in AGENTVIEW
Work together more efficiently with AGENTVIEW Team Accounts. Learn how to connect with other agents, invite assistants or transaction coordinators, manage sharing permissions, and collaborate while maintaining control over your CRM information.
Real estate is a team effort. Whether you're working with another agent, a transaction coordinator, or an assistant, having the right people involved can make managing your business much easier.
With AGENTVIEW Team Accounts, you can collaborate with other professionals while controlling which parts of your CRM they can access.
Instead of sharing passwords or giving someone unrestricted access to your account, Team Accounts allow you to establish connections and manage permissions based on how you work together.
Let's explore how Team Accounts work and how to start building your team.
What Are Team Accounts?
Team Accounts allow you to connect with other AGENTVIEW users and share selected areas of your CRM.
For example, you might work with:
Another Real Estate Agent: Collaborate on contacts, transactions, or follow-up activities.
A Real Estate Partner: Share information while continuing to maintain separate AGENTVIEW accounts.
A Transaction Coordinator: Invite someone to help manage specific transactions.
An Assistant: Provide access to the transaction information they need to assist you.
The important thing to understand is that you control what information you share.
Not every team member needs access to your entire CRM.
Understanding the Two Types of Team Members
AGENTVIEW supports two types of team members, each designed for a different level of collaboration.
1. AGENTVIEW Subscribers
These are agents or professionals who already have their own active AGENTVIEW accounts.
When you connect with another subscriber, you can choose which CRM sections you'd like to share.
Depending on the permissions you provide, connected agents can access:
Contacts
Transactions
Tasks
Address Book
Each subscriber maintains their own account and controls the information they share with other agents.
Example: You and another agent work together on several transactions. You can connect your AGENTVIEW accounts and give each other access to the CRM sections needed for your collaboration.
2. Transaction-Only Members
These are individuals who don't have their own paid AGENTVIEW subscription.
Transaction-Only Members are useful for assistants, transaction coordinators, and other support professionals who need to participate in specific transactions.
Unlike AGENTVIEW subscribers, these members:
Can access transactions they're specifically invited to.
Cannot access your general CRM Contacts.
Cannot access your Tasks.
Cannot access your Address Book.
Cannot establish two-way CRM sharing.
Example: If you work with a transaction coordinator, you can create a Transaction-Only Member account and invite that person to the transactions they're helping you manage.
This allows them to participate in those transactions without giving them access to the rest of your CRM.
Step 1: Open Your Team Accounts Dashboard
From the left navigation menu, click Team Accounts.
Your Team Accounts dashboard will open.
From here, you can:
View your existing team connections.
Add new team members.
Connect with other AGENTVIEW agents.
Manage sharing permissions.
Remove team connections.
Review your available team member slots.
The dashboard gives you one place to manage the people you collaborate with.
Step 2: Add a New Team Member
To get started, click Add New Team Member.
AGENTVIEW will ask whether the person you're adding already has an AGENTVIEW account.
Your answer determines which type of team member you'll create.
Option 1: Invite an Existing AGENTVIEW Agent
If the person already has an AGENTVIEW subscription:
Click Add New Team Member.
Select Yes when asked whether they have an AGENTVIEW account.
Enter the email address associated with their AGENTVIEW account.
Select the CRM permissions you'd like to share.
Click Send Invitation.
Your invitation establishes the sharing request with the other agent.
Choosing Your Sharing Permissions
AGENTVIEW allows you to control access to four main CRM sections:
| Permission | What It Allows |
|---|---|
| Contacts | Access to your shared CRM contact information |
| Transactions | Access to your shared transaction information |
| Tasks | Access to your shared tasks and reminders |
| Address Book | Access to your shared Address Book contacts |
Example: If another agent is helping you manage a transaction, you might choose to share Transactions without providing access to your entire Contacts database.
If you're working closely together on lead follow-up, you may decide to share additional sections.
Important: Review your selections carefully before sending an invitation. Only enable the permissions necessary for your collaboration.
Option 2: Create a Transaction-Only Member
If the person doesn't have an AGENTVIEW subscription, you can create a Transaction-Only Member account.
Click Add New Team Member.
Select No when asked whether they have an AGENTVIEW account.
Enter their name.
Enter their email address.
Create the password requested by the form.
Click Create Team Member Account.
The new member will appear in your team list as a Transaction-Only Member.
What Happens Next?
Creating the account doesn't automatically give the person access to all your transactions.
You'll need to invite them to the specific transactions where their assistance is needed.
This is particularly useful when you work with a transaction coordinator who handles paperwork, deadlines, and other transaction-related activities.
Understanding One-Way and Two-Way Sharing
One of the most useful features of Team Accounts is the ability to control the direction of information sharing.
One-Way Sharing
When you invite another AGENTVIEW agent and enable permissions, you're choosing which areas of your CRM that person can access.
However, that doesn't automatically mean you can access their CRM information.
Each agent controls their own sharing permissions.
Two-Way Sharing
If both agents establish connections with one another, each can choose what information to share.
AGENTVIEW identifies this type of connection with the status:
Both Agents Sharing Info
This means both agents have established sharing access, although the specific permissions may differ.
Example:
You might share your Transactions and Tasks with another agent.
That agent might choose to share only their Transactions with you.
Both accounts are connected, but each person remains in control of their own CRM information.
Connecting with an Agent Who Already Shared with You
Sometimes another AGENTVIEW agent may initiate the connection first.
When this happens, you may see a Connect button next to their name.
To establish sharing from your side:
Open Team Accounts.
Find the agent who has already connected with you.
Click Connect.
Review the agent's email address.
Choose the permissions you'd like to share.
Confirm the connection.
Once both agents have connected, AGENTVIEW will display Both Agents Sharing Info.
This provides a convenient way to establish collaboration without combining or merging your separate CRM databases.
Understanding Transaction-Only Member Access
Transaction-Only Members have a more limited role than AGENTVIEW subscribers.
When viewing these members in your Team Accounts dashboard, you may notice a disabled connection button with the message:
This account can only be invited to transactions.
This is expected.
Transaction-Only Members cannot receive general CRM sharing permissions.
Instead, their access is managed through the individual transactions you invite them to participate in.
Here's a comparison:
| Feature | AGENTVIEW Subscriber | Transaction-Only Member |
|---|---|---|
| Contacts | Based on permissions | No |
| Transactions | Based on permissions | Invited transactions only |
| Tasks | Based on permissions | No |
| Address Book | Based on permissions | No |
| Two-Way CRM Sharing | Supported | No |
Quick Tip: If someone only needs to help with a transaction, consider using a Transaction-Only Member rather than providing broader CRM access.
Understanding Your Team Member Limits
The number of team members you can connect with depends on your AGENTVIEW membership plan.
Your Team Accounts dashboard displays how many team slots you're currently using.
For example:
3 / 5 Team Members
This means you've used three of your five available team member slots.
If you reach your plan's limit, the Add or Connect options may become unavailable.
To make room for another member, you can review your existing connections and remove any that are no longer needed.
Removing a Team Member
Need to end a collaboration or remove someone who no longer works with you?
You can manage this from your Team Accounts dashboard.
Open Team Accounts.
Locate the team member you'd like to remove.
Click the Delete icon next to their name.
Confirm that you'd like to remove the connection.
AGENTVIEW will remove the team connection from both accounts.
Important: Before removing someone, review whether they're still involved in any active transactions or ongoing responsibilities. If necessary, make arrangements for another team member to take over those tasks.
Tips for Managing Your Team
A few simple practices can help keep your Team Accounts organized.
Share Only What's Needed
Not every team member needs access to every CRM section.
Choose permissions based on the person's responsibilities.
Use Transaction-Only Members for Transaction Support
If someone only helps with transaction management, this account type provides a more focused way to collaborate.
Review Your Connections Regularly
As your team changes, take a moment to review which agents and team members still need access.
Keep Your Team Slots Organized
Remove outdated connections when appropriate so you have room for new collaborators.
Understand Two-Way Sharing
Remember that connecting with another AGENTVIEW agent doesn't automatically give you access to everything in their CRM. Each person controls their own sharing permissions.
Work Together While Maintaining Control
Team Accounts make it easier to collaborate with other real estate professionals without giving everyone unrestricted access to your business information.
Whether you're partnering with another agent, coordinating active transactions, or bringing an assistant into your workflow, AGENTVIEW gives you options for managing those relationships.
Quick Tip: Start by adding the people you work with most frequently. Choose the permissions that match their responsibilities, then expand your team connections as your business grows.
The goal is simple: help you work more efficiently with the right people while keeping your CRM organized and your business information under your control.
