Creating Custom Contact Types and Importing Clients
Organize your contacts by creating custom contact types such as Past Clients, Investors, or VIP Clients. Learn how to import your existing client list into AGENTVIEW and assign contacts to the right groups.
Have a list of clients or leads you'd like to bring into AGENTVIEW? You can import your contacts from a spreadsheet and organize them into custom groups that make sense for your real estate business.
For example, you might create contact types for Past Clients, Investors, Open House Leads, or VIP Clients. This makes it easier to organize your database and work with different groups of contacts.
Let's walk through creating a contact type and importing your list.
Step 1: Create a Custom Contact Type
Before importing your contacts, you can create a contact type to keep them organized.
From the left navigation menu, click Contacts.
Find and click Create New Contact Type.
Enter a name for your new contact group, such as "Investors" or "Past Clients."
Click Create Contact Type to save it.
Your new contact type is now available to use when organizing or importing contacts.
Step 2: Prepare Your Contact List
Before uploading your contacts, make sure your list is saved as a CSV file (.csv).
A CSV file is a common spreadsheet format that allows you to transfer contact information from another CRM, Excel, or Google Sheets into AGENTVIEW.
Your file can contain information such as:
First and last name
Phone number
Email address
Mailing address
City, state, and ZIP code
Make sure your spreadsheet has column headings so AGENTVIEW can identify the information during the import process.
Helpful Tip: Review your list before importing to make sure phone numbers, email addresses, and other important details are accurate.
Step 3: Start Importing Your Contacts
Once your CSV file is ready:
Return to the Contacts page.
Click Import Contacts.
In the import window, select the contact type you'd like to assign to your imported contacts.
Click Choose File or Browse to select your CSV file from your computer.
For example, if you're importing a list of past clients, select the "Past Clients" contact type you created earlier.
This helps organize the imported contacts into the correct group.
Step 4: Match Your Contact Information
After selecting your CSV file, AGENTVIEW will provide options to match the columns in your spreadsheet with the corresponding contact fields in your CRM.
For example:
First Name matches the contact's first name.
Last Name matches the contact's last name.
Email matches the contact's email address.
Phone matches the contact's phone number.
City, State, and ZIP match the contact's address information.
Use the dropdown menus to make sure each column is assigned to the correct field.
Take a moment to review these selections. Matching your columns correctly helps ensure names, phone numbers, and other information are saved in the right places.
Step 5: Complete Your Import
Once you've matched your contact fields:
Review your selected contact type and column assignments.
Click Import Contacts to complete the process.
Return to your Contacts page and review the imported records.
Your imported contacts should now be available in AGENTVIEW under the contact type you selected.
Organizing Your Contacts After Importing
Custom contact types are a great way to keep your database organized as your real estate business grows.
For example, you might use:
Past Clients: Homeowners you've previously helped buy or sell a property.
Investors: Contacts interested in investment properties.
Open House Leads: Potential buyers you've met at open houses.
VIP Clients: Important clients or referral partners you want to stay closely connected with.
As your database grows, these groups can make it easier to find contacts, manage follow-ups, and organize your marketing efforts.
Quick Tip: If you're importing contacts from another CRM, consider starting with a small test list. This gives you an opportunity to check that the information imports correctly before uploading your entire database.
